When you register for PepMed 2026 or use our website, we may collect the following information:
- Name, email address, and professional title
- Organization and role
- Payment information (processed securely by our payment provider)
- Dietary requirements or accessibility needs
- Website usage data through analytics tools
2. How We Use Your Information
We use your personal information to:
- Process your event registration and payment
- Communicate event details, updates, and logistics
- Issue certificates of attendance
- Improve our website and event experience
- Send relevant communications about AAPM activities (with your consent)
3. Information Sharing
We do not sell your personal information. We may share your information with:
- Payment processors to complete transactions
- Accreditation partners for certificate issuance
- Event venue and service providers as necessary for event operations
- Law enforcement when required by law
Sponsor and exhibitor access to attendee information is limited to aggregate, anonymized data unless you explicitly opt in.
4. Data Security
We implement industry-standard security measures to protect your personal information, including encryption of data in transit and at rest. Payment information is handled exclusively by PCI-compliant third-party processors and is never stored on our servers.
5. Cookies and Analytics
Our website uses cookies and analytics tools (such as Google Analytics) to understand how visitors interact with our site. You can control cookie preferences through your browser settings. We use this data in aggregate to improve user experience.

7. Mobile App
The AAPM Congress 2026 app for iOS and Android is a companion to this website. This section describes what the app collects on top of the website registration data above.
- Sign-in account. To show your entry ticket, the app asks you to sign in with the email address you registered with. A one-time code is sent to that address; no password is stored. Sign-in accounts are managed by our authentication provider, Clerk.
- Ticket QR code. Your QR ticket is generated from your registration record and shown only after you sign in. It is not stored on the device beyond the app session.
- Check-in records. When congress staff scan your ticket at the entrance or at a session, we record the time of the scan. Session check-ins are used to produce continuing medical education (CME) attendance reports.
- Push notifications. If you allow notifications, the app registers a device push token so we can send you congress announcements. The token is linked to your email only if you are signed in. You can turn notifications off at any time in your device settings.
- Camera. The camera is used only by congress staff to scan attendee QR codes at check-in. The app does not take photos, record video or audio, or access your photo library.
- Contact form. Messages sent from the app carry the name, email address, organization and message text you enter. They are stored with the website's contact messages and emailed to the organizers so they can reply.
- Wellness Lounge booking. Booking an appointment from the app sends your name, email address, phone number, organization, the day, time and service you chose, any add-on interest, and the consent and release you sign by typing your name, together with the version of that text. The booking is stored with the website's Lounge bookings and shared with Arete/Agentis, the independent provider that delivers the Lounge services, so they can prepare for and confirm your visit. A copy of your confirmed reservation is kept on your device so you can show it at the Lounge desk; it is removed when you delete the app.
- My Schedule. Sessions you star are saved only on your device and are never sent to us.
- Partner welcome screen. The one-time welcome screen shown at first launch introduces a congress partner. Whether you viewed or skipped it is not transmitted anywhere.
The app contains no advertising and no third-party analytics or tracking SDKs. It does not collect your location or contacts.
Deleting your account. You can delete your sign-in account from inside the app at any time: open the Ticket tab, sign in, and choose Delete account. This permanently removes your sign-in account and its data from our authentication provider. Your congress registration is a separate record held under section 1 and is not affected; to have it deleted as well, contact us at conference@pepmed.org.
8. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, comply with legal obligations, and resolve disputes. Registration data is retained for up to 3 years following the event for record-keeping purposes.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the website after changes constitutes acceptance of the revised policy.
